WELCOME TO THE ADDVENTIVE ACADEMY The Addventive Academy is a place for bookkeepers across Canada to further their knowledge and their practice. Our software-of-choice is QuickBooks ® produced by Intuit Canada Ltd. and rivalled by Simply Accounting ® produced by Sage AccPac International Inc. Whichever software you choose, you will find our News and Resources pages helpful and informative. We hope to be your "bookkeeping central" by providing information and links to commonly-used resources plus news, books, CDs, newsletters, educational courses, and more regardless of the medium you use to perform your bookkeeping. We don't want to be good, we want to be invaluable to you! ISSUES TO WATCH FOR IN QUICKBOOKS 2008 and 2009 The Addventive Academy has started a list of critical issues that may impact the accuracy and integrity of your data. If you know of an issue that is not listed here, email Arlene directly with details: Issue #1. Upon converting to QuickBooks 2008/09 from an earlier version of QuickBooks, note that taxes will not calculate correctly in both customer and vendor "memorized" transactions. You must re-create and re-memorize all transactions in the "Memorized Transaction List" upon converting to QB 2008/09 (see issue #3 for assistance). Issue #2. Transactions posted from the "Memorized Transaction List" may appear correct until you edit the transaction. If the "Memorized Transaction" was created in the "Memorized Transaction List" prior to converting to QB 2008/09, taxes will not calculate correctly if you change any value in the transaction: the GST and/or PST will zero-out (see issue #3 for assistance). Issue #3. Transactions posted PRIOR TO converting to QuickBooks 2008/09 will not calculate taxes correctly if you change any value within the transaction. Changing any value in the transaction will cause the GST and/or PST to zero-out. The solution is to change all tax codes in the transaction to something other than what they should be. Use your tab key to move to the field after the "Tax" column. Then, move back to the "Tax" column and change change the Tax Code back to what it should be. This will ensure that the taxes calculate correctly in the GST and/or PST fields. Issue #4. Customer and vendor names no longer appear in "QuickReports" generated from "GST Payable" and/or "PST Payable". You can add the "Source Name" column to these reports and you can "Sort" by the "Source Name" column, but you cannot "search" for anything in the "Source Name" column. All names in the "Name" column in "QuickReports" for GST Payable appear as "Receiver General". All names in the "Name" column in "QuickReports" for PST Payable appear as the name of the provincial body where funds are payable to (such as the "Minister of Finance"). Issue #5. You cannot search for any name in the "Source Name" column of a report. Issue #6. Payroll Schedules (QuickBooks Pro only): The fields for pay period end and cheque dates do not line up with the corresponding text. The solution is to fill in all fields and calendars FROM THE BOTTOM OF THE WINDOW UPWARD, noting the text that would/should otherwise apply to that field or calendar in the same fashion (FROM THE BOTTOM OF THE WINDOW UPWARD). Issue #7. Payroll Tables are not automatically activated and "Payroll" is not automatically licensed where you install and register "QuickBooks 2008/09 with Payroll". Contact Intuit Canada for assistance. Issue #8. There is no option to export the "Payroll Item List" as an ".iif" file so that it can be imported into another QuickBooks company file. Issue #9. It is not uncommon for QuickBooks to terminate when you try to edit the values in a previously-recorded transaction. The solution is to restart QuickBooks and create a JOURNAL report for "all" transactions, filtering for transactions that were "Edited/Modified" today. Add the "Entered/Modifed" column to the report, and then choose to "Sort" the report by the "Entered/Modified" column. The report will then show the transaction that was most recently modified. You can choose to re-check the transaction that was most recently modified by double-clicking on it. Issue #10. Where the user created "Items" in the "Item List" prior to converting to QB 2008/09, and where those "Items" posted directly to GST or PST on the Chart of Accounts, QuickBooks will convert those Items to tax items. You will need to recreate said Items in the Item List. Issue #11. Fields for "Items" in the Item List that were previously editable may no longer be editable in QuickBooks 2008/09. Where the information was incorrect prior to updating to QuickBooks 2008, it cannot be corrected. Issue #12. You cannot post directly to "GST Payable" or "PST Payable" without being prompted and without being required to type "Yes" for your selection. Issue #13. The PST Registration Number and many other areas of "Preferences" which were previously editable are notr found in QuickBooks 2008/09. Issue #14. Changing the login username of the "Administrator" in QuickBooks 2008/09 DOES NOT OVER-RIDE THE DEFAULT USERNAME OF THE "ADMINISTRATOR". In other words, even if the login name of "Admin" is changed, any user who knows the administrator's password can still log in using the username "Admin". Issue #15. You cannot save a "Voided" customer Credit Memo. The solution is simply to change all values in the transaction and save it. Issue #16. Removing report columns from a report may not result in the columns actually being removed ie) they may print on top of each other. Best to select "Print Preview" before printing a report where you have removed any columns. Issue #17. Vacation Pay may not track properly on paystubs is a paycheque is "Voided". Issue #18. "Pay Payroll Liabilities" window defaults to today's date even if "Preferences" are set to use the last date entered as the default for new transactions. Issue #19. Tax Codes are not retained in new transactions where "Preferences" are set to automatically fill transactions. No solution other than to retype the tax code in the transaction. Issue #20. "Advanced Find" feature may not be able to find an "amount" in a customer payment. Solution is to generate a "Journal" report and search for the amount there. Issue #21. A "QuickReport" on the Receiver General vendor will not produce results that include "Payroll Liability Cheques". Issue #22. Using the "Find" or "Advanced Find" to search for a cheque in the amount of $0.00 will produce undesirable results.
A NOTE ON QUICKBOOKS 2008 and 2009: QuickBooks 2008 and 2009 are substantially different from prior versions of QuickBooks. Although the platform was expected to be more robust than earlier versions of QuickBooks, the Addventive Academy has experienced a greater frequency of error codes and automatic closing of the software than earlier platforms. We hope to offer a learning guide based on the QuickBooks 2008/09 platform in early 2009.

GST CHANGE IMPACTS QUICKBOOKS TAX CODES LIST
The Canadian rate of GST (Goods and Services Tax) changed from 6% to 5% as of
January 1, 2008. Unlike Canadian Payroll Taxes, consumer taxes in
QuickBooks do not change automatically. For QB 2007 and QB Multicurrency
Edition users, revise your "Tax
Codes List" to ensure that your data entry is accurate.
